About the Role & Team

Do you have good communication skills and a strong work ethic. Are you reliable, able to follow the instruction as well as use your initiative. This role is more than just an Administrative role, it needs you to have independent thinking, task prioritization & problem solving skills.

 

What You’ll Do

  • Managing the day-to-day operations of the Japan office space.
  • Managing incoming calls and ensuring that all enquiries are dealt with in a timely and efficient manner.
  • Organize and track mail/ couriers.
  • Maintaining a clean and organized office environment.
  • Support and manage employee workplace health and safety.
  • Oversee office supply inventory, place orders, and ensure adequate stock levels.
  • Point of contact for ownership/landlord.
  • Coordinate with vendors and service providers to address office needs.
  • Office utilisation tracking and reporting.
  • Consumables spending tracking and reporting.
  • Assistance in planning, guiding, and facilitating internal meetings and events.
  • Provide administrative support to employees, including assistance with travel arrangements and other logistical needs.
  • Facilitate onboarding for new hires, ensuring they have the necessary resources and information
  • Support and facilitate office relocation project.

What You Bring

  • Min. 1 to 2 years of office administration experience
  • Excellent communication skills
  • Ability to work autonomously
  • Attention to detail, proactive with a can-do attitude
  • Intermediate Microsoft Office skills with the ability to pick up systems quickly
